Employment Application - General Entry/Fine Arts Department- Senior Clerk

Senior Clerk -General Entry Department 2019

We are seeking an employee who will work seasonally for 10-11 weeks (July -Mid September). Work may be on weekends and sometimes outside the hours of 8am-5pm. This position is hourly. This position may assist with the Wine & Beer Competitions and therefore must be 18 or older.

10% Duty Statement – Pre-Receiving

  • Ensure proper reports are ready for receiving day(s)
  • Setup department areas with paper-covered tables, class labels and any other supplies needed
  • Confirm any mailed in entries are in correct department area
  • Contact judges several days prior to when they will judge to make sure they are aware of where to go and have travel plans solidified
  • Setup area to receive entries from exhibitors
  • Confirm all entries received are in the proper class areas for judging
  • Make sure edits on packets get back to office staff to make those edits
  • Support and guide Clerks and Volunteers with the receiving process
  • Answer exhibitor questions or alert supervisor(s) as needed
  • Dismantle display and ready exhibits for release to exhibitors
  • Ensure proper reports are ready for release

20% Duty Statement – Receiving

20% Duty Statement – Judging

  • Ensure judges have judging sheets of areas they will be judging
  • Explain process of judging and timeframe to judges
  • Maintain department competition area keeping it organized and free from clutter
  • Guide and support judges & clerks in the judging process
  • Use ShoWorks database software on ipads to check exhibitor information when needed

25% Duty Statement – Displaying

  • Create and set up area display to showcase winning exhibits respecting the entries and ensuring that exhibitors match exhibits
  • Ensure all entries have name tags and correct ribbons
  • Use judgement to display exhibits in a way that calls attention to the exhibits and not items used to create the display

15% Duty Statement – Releasing

  • Setup department areas with paper-covered tables (if needed), class labels and any other supplies needed
  • Place Department display items in containers and ensure they are placed in correct area in storage room

10% Duty Statement – Various

  • Be familiar with all departments displayed in Creative Arts Building. Depending on needs, employee may be moved, with no notice, to assist or lead in other departments
  • Answer exhibitor questions
  • Inventory items related to displays, such as coat hangers, plate hangers, doll stands, material, display boxes, etc.
  • If needed, communicate with General Entry staff to request more items for inventory
  • Be familiar with rules, regulations and premium book information
  • Communicate and coordinate with co-workers to maintain a friendly environment

Physical Demands

  • Must be able to lift over 30 pounds
  • Must be able to walk around and stand for several hours at a time

Minimum Job Requirements

  • Excellent customer service and communication skills a must
  • Ability to perform assigned tasks with minimal supervision
  • Must maintain friendly working environment with coworkers
  • Must maintain professional appearance
  • Work hours are determined by set times for each Department for receiving, judging, displaying, and releasing
